Checking and Sending Mail
The instructions below cover several options for sending and receiving club email. We will add more when those situations come up.
My recommendation is to use one of the direct access methods (Mobile/Desktop app or RFSC Webmail). If you prefer to import club email in your personal email account, the instructions I have been able to find are included below. If you have a scenario not listed below, contact me and we'll figure out how to make it work.
The initial password that you received is temporary and should be changed right away for security. This is done using our webmail client no matter how you plan to get your email:
RFSC Webmail
Webmail lets you check your email from any web browser. Your webmail site is:
https://mail.rochesterfsc.org/mail
Your username is your whole email address.
Mobile/Desktop Apps
Automatic configuration
iOS and OS X only: Open this configuration link on your iOS device or on your Mac desktop to easily set up mail (IMAP/SMTP), Contacts, and Calendar. Your username is your whole email address.
Manual configuration
Use the following settings when you set up your email on your phone, desktop, or other device:

In addition to setting up your email, you’ll also need to set up contacts and calendar synchronization separately.
As an alternative to IMAP you can also use the POP protocol: choose POP as the protocol, port 995, and SSL or TLS security in your mail client. The SMTP settings and usernames and passwords remain the same. However, we recommend you use IMAP instead.
Exchange/ActiveSync settings
On iOS devices, devices on this compatibility list, or using Outlook 2007 or later on Windows 7 and later, you may set up your mail as an Exchange or ActiveSync server. However, we’ve found this to be more buggy than using IMAP as described above. If you encounter any problems, please use the manual settings above.

Your device should also provide a contacts list and calendar that syncs to this box when you use this method.
Gmail Webmail
Please note:
- Using this method imports your incoming emails into your Gmail account and deletes them from the RFSC server.
- You may send mail from your RFSC email account by selecting that account in the Compose window of Gmail. Sent email will be available in your Gmail account, but not on the RFSC server.
- Gmail only imports items in your RFSC inbox. If you have created other folders for your account in another email application (unlikely if you are seting up your account for the first time), those folders will not be imported.
- The RFSC email server automatically checks incoming messages for spam and moves them into a spam folder. These emails will not be imported by Gmail. To check for false positives, you will need to use our RFSC Webmail or a Mobile/Desktop app.
- Gmail appears to import email from RFSC automatically about once per hour. You may check your RFSC email more often by clicking the Refresh icon in Gmail.
- On your computer, sign in to the Gmail account you want to import to.
- In the top right, click

- Username: Your entire RFSC email address
- Password: The password you created to replace the temporary password you were sent as instructed above.
- POP Server: mail.rochesterfsc.org.
- Port: 995.
- Check the following options:
- Always use a secure connection (SSL) when retrieving mail.
- Label incoming messages: <selection>, if desired.
- Leave the others unchecked.
- Click

- You should get a message that the account was added successfully

- Click

- Enter your name.
- Email address should show your RFSC email address

- Port: 587
- Username: Your full rfsc email address
- Password: The password you created to replace the temporary password you were sent as instructed above.

Secured connection using SSL
- Click
Add Account
- The next window is to confirm address verification and add your email address. An email will be sent to your RFSC email. You can check for it using our webmail client or wait a few minutes and the email should arrive in your personal account. If the email doesn't arrive within 10 minutes, please contact: Email Tim Rinkel.
- In that email, either click the confirmation link or enter the Confirmation Code from that email into the Confirmation Code field of the Gmail account verification window back in your web browser.
- Once that is accomplished, you may close the verification window.
Other information about RFSC email
Greylisting
The RFSC email server uses a technique called greylisting to cut down on spam. Greylisting works by initially rejecting mail from people you haven’t received mail from before. Legitimate mail servers will attempt redelivery shortly afterwards, but the vast majority of spam gets tricked by this. If you are waiting for an email from someone new, such as if you are registering on a new website and are waiting for an email confirmation, please be aware there will be a minimum of 3 minutes delay, depending how soon the remote server attempts redelivery.
+tag addresses
Every incoming email address also receives mail for +tag
addresses. These are addresses that you can make up on our own. For example, if your email address is
, you’ll also automatically get mail sent to
. Use this as a fast way to segment incoming mail for your own
filtering rules without having to request an addition on the server.
Use only mail.rochesterfsc.org
to send email from your club address
The RFSC email server sets strict email sending policies for our domain to make it harder for spam and other
fraudulent mail to claim to be from you. Only mail.rochesterfsc.org
is authorized to send email on behalf of our domain. If you use any other service to send email as you, it will likely get flagged as spam by recipients.
